Board Meeting — 2/12/24
Call to Order / Welcome
President Mike Null called the Board Meeting to order at 6:02 PM and welcomed the 2024 officers. Members in attendance included the following: Mike Null, Laura Null, Joe Hinkle and Linda Williams.
Approval of Minutes
L. Hunter-Null noticed the year shown on both the agenda and draft copy of the January 8 Minutes was 2023. L. Williams will correct both the Agenda and the Minutes to reflect 2024. L. Hunter-Null made a motion to approve the Minutes of the January 8, 2024 Board Meeting; seconded by J. Hinkle, and the motion carried unanimously. No guests were present.
President M. Null reported GameTime submitted a permit application with the City of Lake City for a Bleacher Shade to be erected over the center bleachers at the tennis courts at Young’s Park. M. Null expects the approval to take approximately 30 days and the fabrication of the bleacher shade will take approximately eight weeks. M. Null reminded the group that a banner should be hung in recognition of the County’s generous contribution for this bleacher shade.
M. Null shared the Directors and Officers (D&O) Liability insurance policy invoice arrived; it is an optional cost of $553.30 per year. Discussion took place between all board members; it was decided that since our tennis association doesn’t hire nor contract with employees, the existing general liability policy will cover LCCCTA.
L. Hunter-Null made a motion not to renew the D&O insurance policy; seconded by L. Williams, and the motion carried unanimously.
President M. Null spoke with the USTA FL Foundation Office regarding their Foundation Equipment Grant which will open their funding cycle on Feb. 20, 2024 for applicants. There is a recommended list, and after evaluating LCCCTA’s current tennis equipment, it was decided not to seek grant funding for equipment through the USTA FL Foundation Office for this cycle.
Secretary L. Williams reminded the members LCCCTA’s Spring Youth Tennis Camp registration information has already been posted on the website and is on social media. The three-week youth tennis camp will be held at Young’s Park from April 2-18, 2024 on Tuesday and Thursdays from 4:30-5:30 PM. We will need volunteers to assist with coaching the groups! The cost will be $20 per participant and registration will be held on April 2, 2024. Waiver and release forms will be signed at the time of participant registration on April 2, 2024. The most experienced tennis participants will move toward playing junior team tennis matches.
Treasurer J. Hinkle provided a current financial report showing a bank balance of $3,805.46 with all checks clearing as of Feb. 12, 2024. The general account has $1,890.23, the YTF account contains $1,748.00, and the Adult League account has a $167.23 balance.
New Business
L. Williams reported a convenient, quick, and paperless way to obtain donations and contributions for LCCCTA — CashApp is now available on the LCCCTA website. ($lcccta) The renewal date for our current banner sponsors is June 30, 2024; $50 for renewal of small banners and $75 for renewal of large banners. L. Williams will notify current sponsors of renewal cost no later than May 1st. In addition, L. Williams will provide LCCCTA’s treasurer detailed monthly CashApp contributions / donations.
L. Williams told the group a local private school is very interested in having tennis taught to their students through USTA Florida’s Net Generation Program. The program can be an afterschool program and/or SHAPE lesson plans provided to their PE instructor.
L. Williams proposed the dates and cost for LCCCTA’s 3-week 7th Annual Montgomery Summer Junior Tennis Program. To participate, children must be between 6-18 years old. The dates are June 4-20th (Tuesday and Thursday) from 8:30-9:30 AM and the cost is $25 per participant. Registration can be completed online, and waiver forms and payment will be due on the first day of the summer camp—June 4th .

L. Williams reported on interest for both Tuesday evening Socials and Thursday evenings for the spring season:
D. Carter said interest seems good to continue the Tuesday evening social events, and it looks like most players indicated via email they would like to have a second night of social tennis vs. having a mixed doubles league.
D. Carter is willing to continue organizing the 6:30pm Tuesday Socials, but would like another player to organize the Thursday evening social play, to possibly include some round robin pairing of players. Currently, no player has accepted the coordinator position for Thursday evenings, although there is interest. Also, a date will need to be set to begin the Thursday round robin play for Spring.
President M. Null reminded the Board members to quickly register for the USTA FL Community Coach Training to be held at Young’s Park on Monday, March 5th from 4:00-6:30 PM. He asked L. Williams to send out a reminder to our tennis partners, as we will want a large group. LCCCTA will receive a generous stipend for hosting the tennis training.
President M. Null addressed LCCCTA’s 2024 Calendar. He said the LCCCTA Board will always hold its’ Annual Meeting in February of each year, and schedule monthly meeting dates, which are the second Monday in each month. However, if no action is needed, or LCCCTA business can be conducted via email, it will not be necessary for the Board to meet in person.
President M. Null adjourned the meeting at 7:07 PM.
