Board Meeting — 4/11/22
Call to Order: President Dolly Robinson called the Board meeting to order at 5:36 PM. She welcomed all members in attendance and they included the following: Dolly Robinson, Liza Viplav, Joe Hinkle, and Linda Williams. No guests were in attendance.
Approval of Board Minutes: J. Hinkle made a motion to approve the Minutes of the February 14, 2022 meeting and Coach L. Viplav seconded the motion; the motion carried unanimously.
Old Business: President Robinson inquired of L. Williams if Coach Mark Mansbach has continued teaching local veterans to play tennis twice a month.
L. Williams verified that he has; Mark Mansbach has been donating his time to the partnership tennis program between Veteran’s Affairs and USTA Florida.
D. Robinson reported she attempted to make contact with the City’s Director of Public Works, however a new employee has just been hired. She will give them time to settle in, and then make contact requesting the City’s assistance with the installation of the tennis backboard.
D. Robinson said there are remaining business items to address.
D. Robinson will check on the cost of a net to separate teaching courts and she is continuing to research shade sails.
D. Robinson also reminded the group it is important to complete the interior of the pro shop; possibly dry wall or paneling to cover the insulation.
L. Williams will request a quote from Chris Sanborn to complete the interior of the pro shop and have it available for consideration at the May meeting.
D. Robinson filed the 2022 Annual Report and received the State of Florida Department of State corporation renewal document for Lake City Columbia Community Tennis Association (LCCCTA).
L. Williams was provided a copy.
D. Robinson obtained a Chamber of Commerce Membership application and found the membership cost for LCCCTA will be $275 per year; she is awaiting more information from the Chamber of Commerce regarding benefits of joining. The Board will need to vote on membership at the May meeting.
L. Williams reported she contacted a printing company regarding 2X4 ($32) and 3X6 ($72) windscreen banners. The company said there will be no additional cost for multi-color logos.
D. Robinson wants our organization needs a designated board member for this banner project.
During a previous meeting, D. Robinson planned to ask Board Member, M. Kazmierski, to assist as a liaison for this LCCCTA’s banner project/fundraiser.
New Business: In a previous Board meeting, D. Robinson suggested LCCCTA consider offering four (4) $250 Annual ‘Named’ Court’ sponsorships, to provide LCCCTA $1,000 per year in revenue. (Sponsorship period: April 1st to March 31st )
D. Robinson and L. Williams each have already committed to sponsoring a court for 2022.
During the meeting, a $250 check from L. Williams was provided to J. Hinkle for a named court sponsorship. D. Robinson will look for inexpensive name placards that can be placed just under each numbered court.
L. Williams read an emailed agenda suggestion for LCCCTA from Tennis Partner, Pierce Kelley. Mr. Kelley’s suggestion was that LCCCTA move into “Team Tennis” for the upcoming summer program.
He serves on the Board of the Youth Tennis Foundation (YTF) of Florida and sees Team Tennis as a model LCCCTA should work toward. There was group discussion regarding ability levels, and it was decided that toward the end of the summer program, most participants should be ready to play on teams—in the form of ability-level challenge matches.
D. Robinson, Coach L. Viplav and L. Williams will hold a meeting prior to the May Board meeting to discuss morning dates in June that may work best for participants of the LCCCTA Summer Tennis Program.
In addition, D. Robinson and L. Williams will check with summer church programs and day care centers who may have an interest in transporting children to LCCCTA’s summer tennis camp. The participants will be divided into three age/skill levels.
D. Robinson and Coach L. Viplav discussed the four-week Spring Youth Tennis Camp beginning on April 19, 2022 as a one- hour after-school youth tennis program. Coach L. Viplav will lead the 7-12 graders on Tuesdays and Thursdays at 4:30 with D. Robinson and L. Williams leading the 3-6 graders on Tuesdays at 3:45 PM.
Since late January, the Spring Youth Tennis Camp has been publicized by L. Williams on LCCCTA’s Facebook page, with a link to download registration forms. Lake City Reporter’s Community Calendar has been publicizing the upcoming event.
J. Hinkle will assist with registering and collecting tennis camp fees on the first day of the Spring Youth Tennis Camp—April 19th.
L. Williams was able to provide the group a quote for a metal awning to cover both center bleachers at Young’s Park’s tennis complex.
D. Robinson plans to submit both the quote and rendering as attachments with a ‘Request for Contributions’ form to First Federal Bank of Florida, who is assisting community sports programs and other groups with financial assistance for projects.
First Federal Bank of Florida is also giving away $1,000 per day to non-profit organizations. On February 20 th, D. Robinson submitted a request on behalf of LCCCTA for First Federal Bank of Florida’s 60 days of giveaways.
Coach L. Viplav reported the CHS Boy’s Tennis Team has enjoyed a good season playing matches. The District Tournament begins April 12th with all tennis players attending.
J. Hinkle provided the Financial Report. The current balance in the bank account is $2,162.32, with $1,000 funding from YTF allocated to LCCCTA’s Spring Youth Tennis Camp to begin April 19th .
The next Board meeting is scheduled for May 9, 2022 in the same location: Duval Place, Suite 183, Conference room.
President D. Robinson adjourned the Board meeting at 6:45 PM.
